Sourcing Coordinator

About the role

We are looking for a highly organised, proactive, and detail-oriented account and sourcing coordinator to work closely with the account director in managing one of our key corporate accounts. This role involves sourcing promotional products, handling supplier and freight negotiations, managing projects from order placement to delivery, and ensuring smooth communication with both clients and suppliers.

The ideal candidate will act as an assistant to the account director, supporting day-to-day client interactions, order execution, and project coordination. This is a fantastic opportunity for someone who thrives in a fast-paced, high-volume environment and wants to gain hands-on experience in account management, procurement, and project execution.

Key responsibilities

Account and client support:

• Work closely with the account director to ensure smooth operation and execution of the account.
• Assist in client communication, managing order updates, tracking progress, and ensuring expectations are met.
• Help maintain strong relationships with key corporate clients, ensuring their needs are met with exceptional service.
• Provide input on client proposals, pricing models, and new promotional product ideas.

Sourcing and procurement:

• Source promotional products from local and international suppliers (primarily China and South Africa).
• Obtain and compare supplier quotes, product pricing, and freight costs to ensure the best deals.
• Negotiate with suppliers to secure competitive pricing and production lead times.
• Work with suppliers to get design approvals, product samples, and production updates.

Project management and execution:

• Manage projects from initial order placement to final delivery, ensuring timelines and budgets are met.
• Track all orders, shipments, and deliveries, coordinating with suppliers and freight companies.
• Ensure quality control by reviewing samples and checking final products before shipment.
• Liaise with the warehouse and logistics team to ensure timely order fulfilment.

Costing and reporting:

• Prepare detailed cost breakdowns and pricing proposals for client orders.
• Track project expenses and ensure budgets are maintained.
• Provide regular status reports to the account director on all active projects.

Requirements

• Minimum two years’ experience in account coordination, procurement, branding, or promotional product sourcing.
• Experience working with suppliers in China and South Africa is a strong advantage.
• Strong negotiation skills and ability to manage supplier relationships.
• Excellent organisational and time management skills—able to juggle multiple projects.
• High attention to detail, ensuring accuracy in pricing, orders, and communication.
• Great communication skills—must be confident liaising with clients, suppliers, and internal teams.
• Comfortable working in a fast-paced, deadline-driven environment.
• Ability to work independently but also collaborate closely with the account director.
